Important Vendor Information (Revised)

Welcome to the PA BBQ FEST 2023

We have 84 various vendors this year. We also have 17 new vendors to this event, so we welcome them to the event.

Advertising:

Please continue to promote your participation at this event thru your face book page and/or website. You can post to our Facebook event page PABBQFEST 2023. You can also send us pictures of your food and we will post on our Facebook page. Send pictures to info@pennwernerhotel.com.

Set up time for vendors:

Friday from 12PM to 7PM and Saturday from 7AM to 10:30AM

Larger trailers and vehicle might consider contacting us for an earlier time frame on Friday, since it may be more difficult to set up if smaller vendors are there first. Please do as much set up as you can prior to event day. We recommend you put up your structure, but not product. Please remember that there seems to be a breeze at this park, so have you tents anchored and lower them before leaving in the evening.

For those vendors along the trail in the wooden area....we are kindly asking that you set up your tents and tables as far off the trail as possible. The trail gets very crowded during certain times of the event. With people waiting in lines and trying to get past... if it get congested. PLEASE set up as far back as you can get. The crowd will still be able to see your stand.

Electric:

Those vendors that have asked for electric please know that it will not be directly at your location. Please bring along with you at least 50 feet of heavy gauge extension cord (at least 12 gauge rated – commercial grade not household grade) so that you have enough to reach the pedestals of which you will have access and have less of a chance of the electrical failure.

Water access:

We have several water bibs in the tree lined area for water access plus one at the brick pavilion down near the Acoustic stage. Please be prepared to bring a water jug with you to get water. We ask that if you hook up a hose to the spigots leave at least one unattached so other can get water as well.

Health Inspections:

Muhlenberg’s Health Inspector may visit you. Please have a copy of your Serv Safe certificate posted in your area. She has discussed the need for a floor covering in food production area, so dust doesn’t get into your food. Consider a carpet or matting to help cover the ground.

Setting up and trail obstructions:

When you initially set up you can drive on the trail, but only to drop your supplies and then move your car/ truck. This will be a one-way drive thru. Your will enter from along the tree line and exit out near the farmhouse. Look at the map and follow the signs.

Parking on the access trail:

There is an access trail that runs parallel to the trail along the river. This is where vendor can park their vehicles that they will need access to during the event for supplies. This is NOT where your workers are to park. We have limited room for all the vendors to park in this area, please do not allow nor encourage your workers to park in this area.

You can gain access to the access trail by driving down along the tree line when you first come into the park. You will get to a point where you will be at a fork in the road. The right-hand fork will lead you to the river trail --acoustic stage and that vendor area. The left fork will lead you onto the access trail. There will be signs near the area where we have pathways that lead to vendor spots. You will need to look for your spot number and park near-by. Please park forward in and not parallel to the road so that more cars can be accommodated on the access trial.

Payment of Percentage and Tasting Tickets after event:

The percentage of payment and/or tasting tickets are expected the day of the event before you leave the park property each night. You can make payment right here at the information tent near the beer tent. Payment can be made by check or cash. You will be given a receipt for your records. Separate packets with instructions will be handed out the day of the event.

If we do not receive your commission payment the day of the event, or if there is reason to believe that you are not being honest with your sales figures and commissions, you will not be invited to return in subsequent years.

Event map and vendor locations:

These spots are not negotiable. We have placed you in a certain spot for specific reason... whether that be for electric needs, size of your space, product type, etc.

Please respect and accept our layout for this year.

The vendor map will also describe the ONE-WAY TRAVEL ROUTE THROUGH THE TRAIL. Please print the map out so you can have it in your hand when you arrive.

Note that the pedestal numbers are different than the vendor spaces.
